VärmHūs Sauna Co. is exploring a hosted sauna model for campgrounds and hospitality partners.

The first phase will focus on launching a simple booking system for one campsite with one sauna. The purpose of this MVP is to validate guest demand, test the booking workflow, and establish a repeatable system that can later be expanded to additional locations.

The sauna will operate during fixed daily hours. Guests will be able to reserve available sessions online, pay in advance, complete a digital waiver, and receive automated confirmation and reminder messages.

MVP Deliverables

The first-site MVP will include:

Fixed Operating Hours

The sauna will be available for booking only during predefined operating windows established by VärmHūs and the campground.

The heater schedule will be managed separately through the Harvia control system. The booking platform will not automatically turn the heater on or off during this phase.

Online Booking

A branded booking experience will be added to the VärmHūs website or the selected campground page.

Guests will be able to:

• View available dates and times
• Select an available sauna session
• Enter their contact information
• Complete the reservation online

Payment Processing

Guests will be required to pay online during the booking process.

The system will be configured with the selected payment processor and will support basic payment confirmation and refund handling.

Payment-processing fees charged by the selected provider are separate from the project fee.

Digital Waiver

Guests will be required to complete a digital liability waiver as part of the booking process.

The signed waiver will be associated with the guest or reservation and stored through the selected waiver platform.

The waiver language must be supplied or approved by VärmHūs, the campground, and appropriate legal or insurance representatives.

Double-Booking Prevention

The sauna will be configured as a single bookable resource.

Once a session is reserved, that time will no longer be available to other guests. Buffer time may also be added between sessions if required for cleaning, ventilation, or guest turnover.

Confirmation Emails

Guests will receive an automated confirmation email after completing their reservation.

The confirmation may include:

• Reservation date and time
• Campground location
• Arrival instructions
• Cancellation policy
• Waiver status
• Guest access instructions
• Contact information

Reminder Emails

Guests will receive an automated reminder before their scheduled sauna session.

The timing and content of the reminder will be configured during setup.

Cancellation Handling

The booking system will support basic guest and administrator cancellation workflows.

This may include:

• Cancellation confirmation emails
• Reopening the cancelled time slot
• Refund processing based on the approved cancellation policy
• Notification to the campground or VärmHūs team

The final cancellation and refund policy must be provided or approved by VärmHūs.

Manual Guest Access

Guest entry will be handled manually during the MVP.

Possible access methods include:

• A shared keypad code
• A physical key
• Campground staff check-in
• A QR booking confirmation
• Access instructions included in the confirmation email

Automated smart-lock codes are not included in this phase.

Basic Feedback Request

After the session, guests will receive a simple feedback request.

The feedback form may collect:

• Overall rating
• Comments about the sauna experience
• Cleanliness feedback
• Booking experience feedback
• Permission to follow up

First-Site Testing

The initial system will be developed and tested for one campsite with one sauna.

Testing will include:

• Booking availability
• Double-booking prevention
• Payment processing
• Waiver completion
• Confirmation and reminder messages
• Cancellation workflow
• Mobile usability
• Guest access instructions
• Feedback collection

The purpose of the first-site launch is to validate the workflow before expanding the system.

Additional Sites

Additional campground or hospitality locations may be added after the first site has been launched and tested.

The initial system will be structured so that future locations can use the same general booking workflow. Each additional site may require:

• A new location page
• A separate sauna calendar or resource
• Site-specific pricing
• Site-specific operating hours
• Local contact information
• Arrival and access instructions
• Payment or notification configuration
• Testing

Additional-site setup and any location-specific requirements will be scoped and priced separately after the first-site testing period.

Included Refinement and Strategy Time

After the primary deliverables have been provided, the project includes an additional 10 hours for refinement, requests, and strategic sessions.

These hours may be used for:

• Minor workflow adjustments
• Booking configuration changes
• Email or message revisions
• Page and content refinements
• Staff feedback
• Testing corrections
• Reporting adjustments
• Strategic planning sessions
• Discussions about future campground expansion

Work beyond the included 10 hours will require additional approval and will be billed separately at the agreed hourly rate.

• Custom Harvia API integration
• Live sauna temperature monitoring

• Automated smart-lock codes
• Guest accounts
• Memberships or session packages

• Multiple saunas at the same campground
• Native mobile applications
• Custom booking software built from scratch
• Legal drafting of waiver or cancellation terms
• Hardware installation or electrical work
• Harvia equipment, licenses, or subscriptions
• Payment-processing fees
• Third-party software subscription fees

These features may be evaluated as future phases after the MVP has been tested.

The goal of this MVP is to launch the simplest reliable version of the campground sauna booking experience.

It will allow VärmHūs to test guest demand and operating requirements without investing in a fully custom software platform. Once the first site has been tested successfully, the same foundation can be extended to additional campground and hospitality locations.
